We have an opportunity for a PA to support and act as the administrative point of contact for Infrastructures Operations Directors to ensure effective leadership support as well as delivery of quality team related activities.
Provide comprehensive and high quality diary support for the respective Leadership Team members. This will include being responsible for all incoming mail and email, reading, prioritising, responding and escalating as required within appropriate timelines.
Ensuring that calendar information is up to date and that cancelled /updated meetings that come in are actioned, ensuring a clear and easy to read calendar for the Leadership Team (LT) member(s) that you support
Managing and administering the scheduling of weekly, monthly, quarterly meetings. Checking where conflicts occur and resolving in good time. Checking actions from LT meetings by liaising with your respective LT member to ensure that action /follow up items have been addressed ahead of each meeting and that documentation and information is prepared in advance and placed in OneNote in a timely manner
Ensuring preparation of documentation, presentations etc. for internal and external meetings are actioned in advance to ensure smooth running of meetings.
Assisting with Talk Time and Board Report submissions and deadlines as appropriate and ensuring respective LT member submissions are collated in a timely manner. Accountable for chasing and escalating where required
We are looking for:
Substantial experience as an Executive Assistant / Office Manager or Personal Assistant supporting more than one individual, reporting directly to senior management.
Advanced Microsoft Office skills
Proven organisational and project management experience
Exceptional stakeholder skills - must be able to deal with people at all levels
Excellent communication skills - written and verbal
Ability to prioritise, organise, multi task and escalate to lead PA or relevant LT Member
Resourceful, confident and pro-active approach
