The Federation of British Artists is the national centre for contemporary, figurative art, with administration offices and a large, contemporary gallery space located on The Mall in central London. Established in 1961, the FBA provides administration, technical and marketing services, together with gallery resources for the Federation's nine Member Societies and their annual exhibitions. The art societies are as follows:

The FBA earns a large and growing share of its income (c.60%) from other activities, including hosting the exhibitions of other visiting solo artist and group shows, art fairs and events that select Mall Galleries as their exhibitions or events venue of choice. The FBA operates a trading company (Mall Galleries Trading Ltd) for its non-charitable trading activities. The charity delivers public benefit through its commitment to offer an active and inclusive programme of arts education to diverse audiences.
The FBA has a board of 14 Trustees (the present chairman is Jonathan Glasspool) and employs a team of twenty full-time or part-time professionals. A further team of part-time Gallery Technicians undertakes picture handling and technical responsibilities. There are x3 sub committees to the board. This position will work closely with and report to the Finance Committee.
A new Chief Executive was appointed in 2019 to lead the organisation into the 2020's. The five year ambitions 2020-25 will focus on the living, figurative artists who are members of the FBA through the independent art societies. The FBA's aim is to serve these artists by positioning them and their work through wider public engagement and sales. Broadening the reach both onsite at the Mall Galleries, at other venues and fairs and through digital channels whilst significantly improving the internal systems and processes will contribute to ensuring a vibrant and dynamic centre for figurative art and artists. In this rapidly changing environment, with living figurative artists at the centre, the FBA needs to become more resilient by
  • diversifying the offer especially through the digital media
  • increasing the audiences to the Mall Galleries, regionally and virtually
  • maintaining healthy income streams
  • becoming more efficient by improving the systems and infrastructure
2020-25 Five Year Ambitions are as follows
The Federation of British Artists will:
  1. be The Centre for living, figurative artists
  2. be The showcase for living figurative artists
  3. Sell art with digital at the centre
  4. Share expertise and knowledge to emerging artists and students
  5. Significantly invest in the staff by revolutionising the infrastructure and the working environment
  6. Grow core income streams and develop new
  7. Review Mall Galleries as the location as the lease approaches the end in 2031
You will be joining the organisation at a time of transition and development and thereby you will be in a position to create real change and progress.
OVERALL PURPOSE AND ROLE
  • to work proactively with the CEO, budget holders and trustees to actively contribute to the efficiency and effectiveness of the FBA and the delivery of the ambitions 2020-25
  • to develop the strategies with the CEO
  • to ensure that the financial records, financial controls, reporting, budgeting and forecasting for the FBA and its trading subsidiary are maintained to a top standard
  • to manage the facilities and buildings maintenance and capital projects
  • to liaise with Crown Estate and BNP Paribas to ensure smooth operation of the demise
  • to manage organisational systems
  • to be responsible for the day to day operations and security to include the exhibition operations ie receiving, hanging and distributing works of art; reception(s)
  • to lead on HR and training
  • to manage the café operation and prepare for a tender
  • Deputise for the CEO and be an active player in the executive team
  • Act as Company Secretary
Responsible for Finance Officers x2; Facilities co-ordinator (p/t), Head Technician and freelance technicians, Bookshop Manager & assistants
Target Audiences: Landlords - Crown Estate and Managing agent, suppliers, FBA Society Presidents and Treasurers, auditors, contractors, FBA trustees and FBA Finance Committee, member artists

MAIN DUTIES AND RESPONSIBILITIES
Current revenue budget of £1,800,000
STRATEGIC
  • To assist with the development of strategic and business plans for the organisation
  • To provide financial modelling
  • To review and improve income generating areas eg catering, gallery lets, admissions
  • To lead on all operational matters for the galleries and back of house
FINANCE
  • Provide strategic financial advice
  • Review the current process' and improve where necessary
  • Take initiative in alerting the CEO to financial issues or concerns and recommend remedial actions where they are needed
  • Develop and, as required, update financial policies and procedures and, when approved by the CEO and/or the Finance Committee, ensure that they are implemented effectively.
  • Prepare clear reports and P/Ls for the Art Societies
  • Ensure timely payment of art work sales to the artists
  • Oversee the Sage general ledger and all supporting systems and records.
  • Manage prompt banking of income and ensure properly authorised payments are made in accordance with supplier terms, and both are accurately recorded.
  • Using the external payroll provider, ensure that all staff are paid accurately and on time in accordance with their terms of employment.
  • Monitor bank balances, promptly advise the CEO of any issues as they arise and prepare monthly cashflow reports (and more regularly if agreed.)
  • Prepare monthly management accounts on a timely basis and discuss performance against budget with the CEO and budget holders.
  • Prepare annual budgets for the organisation with the CEO to include cash flow, and prepare quarterly forecasts during the year.
  • Prepare statutory accounts for audit and liaise with auditors.
  • Submit end of year returns.
  • Oversee major sponsorships or trust receipts
  • Assist with applications for funding
  • Report to the Trustees and the Finance Committee on all financial and operation matters, including written reports where required
  • Maintain an up to date knowledge on finance issues and good practice in the charity sector, advising the CEO on implications for the FBA
HUMAN RESOURCES
  • Develop the staff handbook
  • With the CEO manage the contracts of employment, childcare vouchers, pensions, maternity cover etc
  • Pensions enrolment and management
  • Lead on staff training, team training days
  • Introduce online holiday/sickness process
  • Review contracts and payment of salaries
OPERATIONS
  • With the CEO to develop a masterplan for the galleries, public areas and offices
  • Prepare a 5 year maintenance strategy in line with the 2020-25 strategy and from it manage the annual maintenance schedule
  • Manage a refurbishment of the offices and receiving and meeting areas
  • With the CEO put forward recommendations for the restoration of all or part of the Learning Centre, currently no longer habitable
  • Major contracts tenders - project manage the tendering of key contracts such as catering, cleaning, maintenance of environmental controls
  • Lead on all operational matters and streamline process' eg review opening hours, the process for receiving, hanging and re-distributing artworks
  • Develop good relations with Crown Estate and BNP Paribas
  • Security - management of the keyholders and locking and unlocking of the building
  • Manage third party relationships
Infrastructure
  • Review systems and process
  • With the Digital Manager lead the project to introduce an integrated customer relationship management systems
GOVERNANCE
  • Report to and take minutes for the finance committee meetings
  • Lead on internal project groups eg Systems and Infrastructure
  • Play a part in the executive team to provide leadership and direction for the organisation
  • Lead on risk assessments
  • Lead on Health and Safety
MANAGEMENT
  • Ensure good management, coaching and mentoring of a small team to deliver the collective goals
ADMINISTRATION
  • To be self-administering
  • Prepare quarterly reports for the FBA Board
  • Review systems on a regular basis
OTHER
  • To be a spokesperson for the FBA
  • To attend FBA exhibition openings
